An evening event after work has its own rules: guests arrive tired, some straight from the office, and there is less time than it seems. A well-planned evening in a venue hired for a few hours fits into that time without rushing. Below we show how to plan it.
How many hours to book
Always add two things to the event itself:
- setting up - decorations, equipment, laying out food, usually 45-60 minutes,
- wrapping up - guests leaving and packing up, about 30 minutes.
If the event should last three hours, book four and a half. Extending the hire at the last minute can cost more or be impossible.
The evening schedule
An example for a company event starting at 7 pm:
- 6 pm - the organiser arrives and sets up,
- 7 pm - guests arrive, drinks and snacks,
- 7:30 pm - a short formal part, fifteen minutes at most,
- 7:45 pm - dinner or buffet,
- 9 pm - relaxed part: conversation, music, games,
- 10:30 pm - finish.
The same structure works for an evening birthday or a meeting with clients.
Food in the evening
Guests coming from work are hungry, so the first snacks should be on the table when they arrive. A buffet works better than a served dinner, because people arrive at different times. Also order something warm and good soft drinks for drivers.
Getting there and home
In the evening, parking next to the building and an easy way home matter. Put the address, parking and finish time on the invitation, so guests can plan public transport or a taxi.
An evening corporate event
For a corporate event after work, a short formal part at the start and plenty of time to talk work best. If the same group has training during the day, the evening corporate event is easiest in the same venue.
Questions to ask before an evening event
- When can we come in to set up?
- Until what time does the hire run, and how much is an extra hour?
- Can the food be ready when guests arrive?
- Where will guests park?
