Screen and visibility
Sit in the back row and check you can read the text on a slide. The screen should hang high enough that heads in front do not block it. Ask whether there is a projector or TV, whether you need to bring your own, and which connectors are available.
Sound and microphones
With 50 or more people, a voice without a microphone does not reach the back. Check:
- how many microphones there are and whether they are wireless,
- whether there is a microphone for audience questions,
- whether you can play sound from a laptop, for example for a video.
Power, cables and internet
Sockets at the speaker's desk and near participants' tables are a detail people remember at the last minute. WiFi should cope with dozens of phones at once. If you plan to stream online, ask about a wired connection.
Seating layout
- theatre style - the most seats, good for talks and presentations,
- classroom style - tables with chairs, when participants take notes or work on laptops,
- horseshoe - for a smaller group and discussion.
Ask the venue for capacity in the specific layout, because the differences are large.
Light and climate
Too much sun on the screen spoils the slides, too little light makes the room sleepy. Check whether the windows can be covered. A full room heats up fast, so air conditioning matters not only in summer.
A technical rehearsal
Arrange to come in an hour before the start. Test each presentation on the equipment in the room, and the microphones from different spots. Have a plan B: presentations on a USB stick and in the cloud.
Breaks
A break roughly every 90 minutes keeps attention. It helps when coffee is outside the main room, so the next talk can be set up during the break.
