A good training room is invisible: nobody thinks about the chairs, the lighting or whether they can hear the trainer. A bad one reminds you of itself every fifteen minutes. Below is a checklist of things to check before choosing a venue for your group's training.
Room size and group size
A room that is too small is tiring, one that is too big scatters the group. Always ask for capacity in the layout you plan, because the same room can hold 100 people in rows of chairs and far fewer at tables. Workshops with group work need more space than a lecture.
Table layout
- classroom - tables in rows, good when participants take notes or work on laptops,
- horseshoe - everyone sees each other, good for groups up to about 25 and discussion,
- islands - several tables for small teams, best for workshops,
- theatre - chairs only, for talks and presentations.
Light, sound and climate
Daylight helps concentration, but you need to be able to cover the windows when the sun hits the screen. With a larger group a microphone helps. Air conditioning matters all year, because a full room heats up fast.
Internet and sockets
WiFi must handle all participants at once, especially during online exercises. Also check for sockets or extension cables near the tables, because laptops rarely last a whole day on battery.
Breaks and food
A full-day training usually has two coffee breaks and lunch. It is easiest when food is on site and nobody has to leave. It helps if coffee is outside the main room, so the trainer can set up the next part during the break.
Access
Participants often come from different parts of the city and from outside it. A central location with parking next to the building prevents late starts.
Questions before hiring a training room
- How many people fit in the chosen layout?
- What is included: tables, sound system, WiFi, air conditioning?
- Can we come in early to set up?
- Can food be served on site?
- Do you issue a VAT invoice for companies?

Questions about choosing a training room
Which layout is best for a workshop?
Islands, meaning several tables for small teams. Participants work in groups and can still see the trainer.
How much space does each participant need?
At tables, usually about 2 sqm per person including walkways. Theatre style needs less.
How far ahead should you book a training room?
For weekdays two to three weeks is often enough. For a larger group or training on several dates, book earlier.
